Using Hashtags

Hashtags are a powerful tool to separate your locations and employees into multiple different groups based on any property (such as a person's skills or a location's brand).

But first, what is a hashtag? In social networks it is a word or a word-phrase to cross-reference content written with a # symbol before it. Any word can be a hashtag. For the sake of this article, let's go with the following example.

For example, let's say you manage a location, which is only reachable by a car after 6 o'clock in the evening (it is located on a highway and no public transport goes there). Let's say, your employees need to have a driving license for a car or for a motorcycle to be able to get there in these late hours. How do you manage this information in TeamUltim?

Go to a location profile ("Location" in the main navigation and then choose the location). In the hashtag box type "Driving Licence" and press enter (this way a new hashtag can be added; if a hashtag with that name already exists, you will be able to reuse it). Save the location profile.
Now go to the profile of an an employee who works there (assuming you have already assigned the employee to the location). In the hashtag box of the employee start typing "Driving licence". As the hashtag already exists, you will be able to select and reuse it. Save the employee profile. Repeat these steps for as many employees as you need.

This way you have added a new hashtag and marked both, the location and employee with that particular hashtag.

Now if you need to schedule some shifts for that location only for employees who have driving licences, you can filter such employees by hashtag "Driving license" in the calendar view on the right. Type in the hashtag (or select it from the existing list) and proceed with the scheduling as usual. If employees or locations have been filtered in the schedule by a hashtag, the schedule editor will only show the filtered selection. You can of course reset the filter in the schedule editor if you need to.

What if you need to differentiate between different employee skills or certifications? You proceed in the same way. Add a hashtag in the employee profile and then filter using the particular hashtag in the schedule view. You can filter using multiple hashtags and restrict results even further by using "and/or" logic to include some or all of the hashtags.

For the sake of readability, we recommend using abbreviations for hashtags, so when you use the filter, you don't have long phrases to type out. For example, instead of using "Driving Licence", you may want to use "Drive" or "Driving", or if you want to separate this into two types of driving licences (car and motorcycle), you can use "Drive:Car", "Drive:Bike" as two different hashtags.

Hashtags can be used for any kind of grouping, be it a special skill, qualification, requirement or other aspect of the business that needs to stand out. Hashtag filtering is used in schedules as well as locations and employees overviews (when having over 10 items of any of those).

Hashtags are seen only by shift and business administrators.

If you need to rename a hashtag, go to "Settings" in the main navigation and then open "Hashtag manager". There you can rename any existing tags or add new hashtags (which will be available throughout the system immediately).
