Managing supplementary compensations
As the compensation system of each business depends on a multitude of factors, we have created a tool to set up supplementary compensations, which might include different types of bonuses, performance based payout and other supplementary pays which your business model might require.
Adding a supplementary pay
To add a pay supplement, go to the Payroll module and switch to "Pay supplements" tab.
- Click "Add pay supplement" at the top bar to open the editor
- The editor is divided into three steps: labels, properties and team.
- Labels and descriptions should help you identify a pay supplement within our system and an external system:
- "Label" is a required field and is used internally and as a fallback when generating a report file for export. It should be descriptive enough so you can easily recognize this supplementary type within the system, i.e. "SundayBonus"
- "Code" is an optional field and is used only within the report file instead of the label. It is helpful when you have to use the same code in different systems, especially when it is not descriptive enough to quickly identify in a daily routine, i.e. "SB12P4"
- Optional description is only used internally for your notes
- Properties define the rules for this supplement to be applied.
- The amount of pay can be defined per hour, per shift, per day, per overtime hour and as a fixed amount.
- Overtime hours will only be used if you also use the "Attendance and Time tracking" module for recording the work hours.
- The fixed amount does not need any references, like planned hours or timesheets and will be considered as a fixed amount independent of performed work
- You can choose between planned hours which are based on the published schedule, or timesheets, which are based on approved timesheets (only available with the "Attendance and time tracking" module)
- You can optionally choose locations to consider for this supplement pay. If you leave locations empty, then all locations will be considered.
- You can choose weekdays for this supplement pay to consider. If left empty, all weekdays will be considered.
- The option "Include public holidays" will refer to the list of public holidays which you have to set up separately (see Business Settings). If no public holidays are being tracked, choosing this option will have no effect.
- You can optionally choose starting, ending or both hours (as a period) for the supplement pay to be valid. Leaving the time empty will not take into account any special periods.
- in the "Team" step you can assign the supplement pay to the employees. Please keep in mind that only employees having a salary or a wage assigned to them will be displayed in the list and can be assigned any supplementary compensation.
- Click "Save supplementary pay"
Editing a supplementary pay
In the overview table, move the mouse over the row where the supplementary pay is displayed and click "View" at the right end of the row to open the editor window. Go through the steps as described above and save the changes.
Assigning a supplementary pay to an employee
You can assign a supplementary pay to an employee in three ways. One thing to remember is that only those employees who have been assigned a salary or an hourly wage can be assigned to further supplementary payments.
You can assign a pay supplement to an employee within the editor of the pay supplement (last step).
You can go to the "Team payroll" tab within the "Payroll" module, click the "Add" button at the top bar and choose "Add employee compensation".
You can go to "Team", choose an employee profile, switch to the "Payroll" tab and click "Add employee compensation" there.
Adding a supplementary pay to a payment report
As with any other changes to a report, you need to update the related payment schedule for the generated reports to include supplementary payments. To include a pay supplement into a payment report, go to the Payroll module, switch to the "Payroll schedules" tab and edit a payment schedule which should include the supplementary payment in question. This will regenerate existing pending reports and you will be able to see the changes immediately.
