Todo Lists and Tasks

With our "Todo Lists and Tasks" feature, shift administrators have a tool to create and assign tasks for the team.
Regular employees can only create private task lists.

Creating a task list

To create a task list – even if it is supposed to hold a single task – you will need to enter the due date and the responsible employee(s). A description for the task list is optional. A label for the task list is also optional and if none is given the ID of the task list will be used as its label.
A task list has an option to complete it even if not all tasks have been marked as "done", otherwise a task list will autocomplete only when every task is ticked as "done".
Another option includes email notification after task list completion which will be dispatched to the author of the list (one of the shift administrators who has created the list).

After setting up these properties, you can then add tasks to the list. Tasks can have subtasks: just drag a task under the parent task. If all subtasks have been completed, the parent task will not autocomplete and it needs to be ticked away still.

Task lists are marked in calendar views and hold the "task balance": number of tasks that have been completed from the total number of tasks assigned for an employee for that day.

Using templates

For recurring task lists shift administrators can also create task list templates. A template has all of the same options except for the due date and the responsible employees. A template list requires a label. You can later create a regular task list "from template" which will require to select a template as well as the due date and the responsible employees. Templates are sorted alphabetically by list label.

Archiving a task list

Task lists are sorted by date: first today's lists, then overdue if any, then tasks for tomorrow and then for the next 7 days. Overdue task lists will mark the app's navigation with a notification until completed.
A task list can be archived without being completed. Archiving a task list moves it away from the due lists into archive and removes any notifications from the navigation.

Notifications

Employees will be notified on the newly created task lists which have been assigned to them. Only one notification per task list will be sent – so if a task list has been edited after the notifications have been dispatched, responsible employees will not be notified again. They will of course see the changes in the app.

The author of a task list can be notified on its completion if required. This option can be turned on any time in task list settings before it has been marked as complete – either when creating a list or when editing it later.
No notifications will be sent for private lists.
