Time Tracking Settings
Our time tracking module encompasses a number of features which can be set up differently, depending on the requirements of your business.
First and foremost: if you intend to use the TeamUltim Terminal for checking in and out of the workplace, every employee will need to set up a personal PIN. Without such a PIN an employee will not be able to check in or check out at the terminal.
This personal PIN uses only digits and must be at least 4 digits long and should not exceed 8 digits. Easy to guess PINs like 1234 or 1111 are not allowed, so we require everyone to come up with something more complicated than that. All PINs are encrypted so that they stay secure.
You can also set up team permissions for more flexibility or more control.
Allowing an employee to punch in and out with their own device will show a special section at the Dashboard, so when employees open the app, they can punch in without using a terminal. If you set up terminals, both ways – terminal and web app – will be available for punching in. This option is turned on by default.
Allowing an employee to punch in without a scheduled shift will enable any employee to punch in at any time and at any location (if you have multiple locations). This might be useful if employees have to frequently "drop in" without a notice or swap shifts without waiting for them to be approved by a shift supervisor. This option is turned on by default.
The default grace period for the employees to edit a timesheet is set to 7 days. This period can be set from 1 to 28 days or turned off completely. If turned off, the employees will not be able to edit their timesheets at all and only shift supervisors will be able to do so. Please note, that editing a timesheet manually will log such an edit with the time and name of the editor regardless of their role in your organization.
There are more options for rounding times and durations, so we have added a separate article for that – read it here.
